
The complexity of the tax system in Poland and the huge number of tailor-made IT solutions created in recent years will cause problems with integration with KSeF. It should be mentioned here that most of the software for the accounting and financial systems market in Poland has been developed and supported by several large companies for years. Therefore, enterprises using these tools are waiting for system updates.
There is also a group of clients who, for various reasons, require their own systems, have been using them for a long time, have processes adapted to the established patterns and, for procedural or financial reasons, are not interested or are not able to switch to a new solution. Implementing a dedicated solution from scratch is extremely expensive in today’s IT job market and involves creating a team and investing time to complete such a project.
It is worth noting that despite the existing tools that support issuing and sending invoices, several other systems can operate in parallel in the client’s ecosystem, adding value by exchanging information between them or adding further meta-data.
The tool that KSeF provides – the user interface in the browser – has limitations and it is not possible to enter more invoices quickly or automatically. Moreover, KSeF does not notify the user about a new invoice (as of today, there is no information that this will change) and does not provide tools to check the logical consistency of data on the invoice. In addition, the API provided by KSeF, enabling the integration of other systems, also requires specialist IT knowledge and time to adapt to the existing system and to build and maintain a scalable infrastructure – and thus, time, costs, team. The efficiency of the government system itself is also a great unknown.
On the other hand, the centralization that I offer to KSeF is a great start to automate processes in the downstream pipeline of the company’s business model. Thanks to integration via the API, it will be possible to automate the process of sending and receiving any number of invoices, up to several thousand a day, and actually improve work in areas related to cost management, decision-making, logistics and Business Intelligence.
